Minimum Requirements for a club trip

  • add an event to the club calendar (owned by [email protected])
  • specify the date, time, location, type of activity, skill level
  • specify a contact person (needs to be someone going on trip)
  • other stuff?

Large Trips (15+ people)

An large trip is one where you expect at least 15 people. Usually, large trips attract a lot of attention and are promoted heavily. Any club member can attend an open trip, provided that they have the skills necessary to do so. Examples of large trips are:
  • club nights at the ledge
  • interclub climbing trip
  • beginners climbing trip to lindfield rocks
  • beerouldering

The procedure for organising a large trip is shown below.

Before the trip:


1. Create a sign-up form using Google Forms, with the responses stored in a Google Spreadsheet. This form will collect:
  • names (first name + surname),
  • mobile numbers,
  • email addresses, and
  • any other details deemed necessary (eg whether someone owns a tent or can drive)
2. Advertise the trip on the club website by:
  • adding an entry to the "Upcoming Trips" page
  • adding an entry under "News" on the "Home" page
  • and adding an event to the club calendar (which is owned by [email protected])
  • adding links to the Facebook event
3. Make a Facebook event.

orrow any gear needed from the locker (see gear officer).
5. The day before the trip, print a copy of the Google Speadsheet, and bring this to the trip.

During the trip:

  1. Everyone that attends the trip needs to get marked off. If they are on the spreadsheet, tick next to their spreadsheet entry. If they are not on the spreadsheet, they need to write their details down.
  2. Ask around and find someone to write up a trip report. This is a brief and informal summary of the day's activities to post on the website.

After the trip:

  1. Return any borrowed gear to the locker.
  2. Enter the updated details from the printed spreadsheet into the online Google Spreadsheet. Send a copy of the completed spreadsheet to the club email ([email protected]), or share the Google Spreadsheet with the club email.
  3. Leave a hard copy of the completed spreadsheet in the gear locker, in a folder called "Trips".
  4. Make sure the trip report gets posted on the club website.
  5. (optional) create a trip summary, which identifies things that worked well/badly, and future improvements
